Job Description
Office Administrator
Job Purpose: We seek a highly organized and detail-oriented Office Administrator to provide administrative support and ensure seamless day-to-day operations in our Miami office.
Job Duties:
- Provide comprehensive administrative support to staff members, ensuring smooth daily operations.
- Maintain accurate and organized records, files, and databases, ensuring data integrity and easy retrieval.
- Deliver exceptional customer service across all channels: phone, email, and in-person, representing the company professionally.
- Assist with critical financial tasks including billing, accounts receivable, and accounts payable processes.
- Reconcile monthly financial statements and ensure all financial records are accurate and up-to-date.
- Support financial planning activities such as budgeting, forecasting, and the preparation of financial reports.
- Coordinate effectively with the operations team to ensure smooth and efficient project execution.
- Assist with the application and management of permits, licenses, and compliance requirements.
- Manage office inventory, supplies, and equipment, ensuring availability and efficient usage.
- Implement and enforce office policies, procedures, and standards to maintain an organized and productive work environment.
- Ensure strict compliance with all company policies, relevant regulations, and industry standards.
- Coordinate and dispatch field personnel and equipment to job sites, manage their schedules, and track progress to ensure timely completion.
- Perform special projects and assignments as required, demonstrating flexibility and initiative.
Job Qualifications:
- Experience: 1-2 years of proven administrative experience in a professional office setting.
- Education: High school diploma or equivalent is required.
- Technical Skills: Proficiency in MS Office Suite (Word, Excel, Outlook), accounting software, and other relevant business applications.
- Core Skills: Excellent communication (written and verbal), strong organizational abilities, and effective problem-solving skills.
- Confidentiality: Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- Industry Experience (Preferred): Experience in construction, transportation, or related industries is a significant plus.
- Regulations (Preferred): Familiarity with MOT (Maintenance of Traffic) operations and regulations is preferred.
Physical Requirements / Work Environment:
The role regularly requires the ability to stand, walk, sit, and communicate or hear. It also involves using hands to handle, control, or lift objects as needed to perform job duties effectively.
