Office Administrator (Miami)
Job Purpose:
We are actively seeking a highly organized and meticulously detail-oriented Office Administrator to join our team in Miami. This pivotal role involves providing comprehensive administrative support and ensuring the seamless execution of day-to-day operations within our busy office environment.
Key Responsibilities (Job Duties):
- Provide extensive administrative support to all staff members, contributing to overall team efficiency.
- Maintain exceptionally accurate records, comprehensive files, and various databases, ensuring data integrity and easy accessibility.
- Deliver exceptional customer service consistently across all channels, including phone, email, and in-person interactions.
- Assist proactively with critical financial tasks such as billing, accounts receivable, and accounts payable processing.
- Reconcile monthly financial statements diligently and ensure the accuracy and completeness of all financial records.
- Support budgeting processes, financial forecasting, and the preparation of detailed financial reports.
- Coordinate closely with the operations team to ensure smooth project execution and alignment across departments.
- Assist effectively with obtaining necessary permits, licenses, and ensuring adherence to all compliance requirements.
- Efficiently manage office inventory, order supplies, and oversee equipment maintenance to ensure operational readiness.
- Implement and uphold robust office policies, procedures, and established standards to maintain an organized and productive workspace.
- Ensure strict compliance with all company policies, relevant regulations, and prevailing industry standards.
- Coordinate the dispatching of field personnel and equipment to various job sites, meticulously manage schedules, and track progress diligently.
- Undertake and successfully complete special projects as assigned by management, demonstrating adaptability and initiative.
Job Qualifications:
- Experience: 1-2 years of proven administrative experience in a professional office setting.
- Education: High school diploma or equivalent is required.
- Technical Skills: Proficiency in MS Office Suite (Word, Excel, Outlook), relevant accounting software, and other essential business applications.
- Core Skills: Excellent communication (written and verbal), strong organizational abilities, and effective problem-solving skills.
- Professionalism: Demonstrated ability to maintain strict confidentiality and handle sensitive information with discretion.
- Preferred Experience: Experience in construction, transportation, or related industries is a significant plus.
- Preferred Knowledge: Familiarity with MOT (Maintenance of Traffic) operations and regulations is highly advantageous.
