Litigation Secretary – Labor & Employment | Adams & Martin Group

This role is essential for supporting a busy team of attorneys, ensuring the smooth progression of the full litigation lifecycle, and providing exceptional client service.

What You’ll Actually Do
• Document Preparation: Draft, revise, format, proofread, and finalize various legal documents including briefs, pleadings, motions, correspondence, and discovery materials.
• Court Filings: Prepare document shells and electronically file legal documents in both California state and federal courts, ensuring compliance with all court rules.
• Calendar Management: Maintain attorney calendars, track litigation deadlines, court dates, and docketing requirements, calculating deadlines based on relevant rules and orders.
• Litigation Coordination: Coordinate depositions, hearings, and mediations, including scheduling court reporters, videographers, and communicating with court personnel and opposing counsel.
• Administrative Support: Organize client and case files within document management systems, accurately enter and review attorney time entries and expense reports, and process vendor invoices.

The Must-Haves
• Background: Experienced professional with a minimum of 5 years as a Litigation Secretary or Legal Secretary supporting civil litigation practices, including both California state and federal civil litigation. A high school diploma is required.
• Experience: Minimum 5 years of experience demonstrating strong knowledge of litigation procedures from case initiation through trial, including preparing and finalizing court filings (with tables of contents and authorities), independently determining filing and service requirements, and maintaining litigation calendars and docketing responsibilities.
• Skills: Proficiency with Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), PACER, ECF/E-Filing Systems, LexisNexis, and Document Management Systems, alongside exceptional attention to detail, proofreading ability, and organizational skills to manage competing priorities.
• Bonus: A college degree is preferred, as is experience with iManage, NetDocuments, Milana (CompuLaw platform), Best Authority, Aderant, Concur, or specific Labor & Employment litigation experience.
