Litigation Legal Assistant | D3 Search

The Tone:
This is a full-time, direct-hire role at a prominent California-based AmLaw 200 ranked law firm, located in San Diego, CA (92101), operating on a hybrid work model. The firm provides essential legal services to both public and private organizations across the state. This position is crucial for ensuring the efficient management of litigation matters by providing high-level administrative and secretarial support to attorneys from inception through resolution. The role demands exceptional attention to detail and advanced organizational skills to manage multiple cases and priorities effectively.

The TL;DR
• Role: Full Time
• Type: Full-time/direct-hire employment. Non-exempt role (OT paid in accordance with CA laws).
• Location: Hybrid work model (3 onsite/2 remote), San Diego, CA (92101)
• Pay: Up to $90000 yearly
• Mission: This role ensures the efficient management of litigation matters by providing high-level administrative and secretarial support to attorneys.
• Tech Stack: Microsoft Office Suite (Word, Excel, PowerPoint), iManage (preferred)

What You’ll Actually Do
• Document Preparation: Prepare, revise, and format complex legal documents, correspondence, memoranda, and emails from written drafts and transcription for attorneys.
• E-Filing and Litigation Support: Handle e-filings in state and federal courts and with administrative agencies, supporting all stages of the litigation process from initiation through trial.
• Calendar Management: Maintain and monitor attorney calendars, ensuring all critical dates and deadlines are accurately recorded on the master calendar.
• Materials Organization: Assemble documents and exhibits for court filings, recordings, hearings, arbitrations, mediations, depositions, and other proceedings.
• Table Creation: Create and update Tables of Contents (TOC) and Tables of Authorities (TOA) for legal documents.

The Must-Haves
• Background: High School Diploma or equivalent. Strong knowledge of litigation procedures, court rules, e-filing requirements, and legal terminology.
• Experience: Minimum of five years of litigation secretary experience.
• Skills: Strong writing, editing, and proofreading skills; proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); strong organizational skills with the ability to prioritize workload for multiple attorneys; excellent verbal, written, and telephone communication skills to interact professionally with clients, attorneys, vendors, and staff.
• Bonus: Familiarity with document management systems such as iManage preferred.
