What You’ll Actually Do
• Document Preparation: Prepare, proofread, and format legal documents such as pleadings, correspondence, memoranda, and exhibits, ensuring accuracy and compliance with court rules.
• Court Filings: Perform e-filings in state and federal courts and maintain organized filing confirmations for all legal proceedings.
• File Management: Maintain and organize electronic files within the iManage system and update physical pleading notebooks, indices, and case files as needed.
• Deadline Tracking: Establish and monitor a calendaring system for litigation deadlines and key dates to ensure timely action.
• Financial Support: Enter billable time for attorneys, assist with revisions to pre-bills, coordinate with billing managers regarding client-specific rate agreements, and support monthly billing processes.
The Must-Haves
• Background: High school diploma or GED required. This role requires a minimum of 5 years of administrative experience supporting Litigation attorneys in a law office, with proficient knowledge of legal document formatting and general familiarity with court systems and litigation workflow.
• Experience: At least 5 years of administrative experience supporting Litigation attorneys in a law office. Demonstrated experience with time entry systems, e-Filing platforms, file opening, and conflict checks is required.
• Skills: Strong computer proficiency in MS Office (Word, Excel, PowerPoint, and Outlook). Proficient knowledge of legal document formatting including table of contents, table of authorities, styles, track changes, and PDF editing and conversion. Excellent organizational and communication skills, ability to work independently, attention to detail, and strong prioritization.
• Bonus: Bachelor’s degree preferred. Experience working with a document management system, specifically iManage, is a plus.
