Litigation Docketing Specialist | Greenberg Traurig, LLP

The Tone:
This is a full-time employment opportunity at Greenberg Traurig (GT), a global law firm with locations across 15 countries. You will join the East Coast Regional Litigation Docketing Team, playing a critical role in managing calendaring for multiple offices and national practice area groups. Your contributions will directly support the firm’s success by ensuring efficiency and accuracy in deadline management and providing strategic solutions to litigation teams. This position is vital for maintaining organized and precise legal processes within a collaborative environment.

• Team: East Coast Regional Litigation Docketing Team, reports to the Litigation Docketing Supervisor.
• Mission: To provide centralized, accurate calendaring management for litigation teams by expertly processing and tracking legal deadlines.
• Tech Stack: ProLaw, Westlaw Legal Calendaring Rules, Windows-based software, Microsoft Office Suite (Word, PowerPoint, Excel, Outlook), Adobe Acrobat, AI platforms (e.g., Microsoft Copilot, ChatGPT).

What You’ll Actually Do
• Email Review: Review received emails from case teams, scanned mail, and ECF filings/serves to determine docketing necessity.
• Decision Making: Make informed decisions on whether items qualify to be added to case teams’ Outlook calendars.
• Priority Staging: Assess and stage the priority of all received items to create an organized queue for each public folder.
• Deadline Management: Enter and update applicable deadlines in ProLaw using the Westlaw Legal Calendaring Rules.
• Team Communication: Communicate with case teams to gather necessary information for case setups, management, and respond to inquiries regarding docketed events and deadlines.

The Must-Haves
• Background: Bachelor’s Degree or equivalent experience preferred, with core domain knowledge in litigation processes, court rules, and procedures.
• Experience: Minimum 7 years of current Florida Litigation experience on case teams and 7 years of current Federal Litigation experience, with prior experience using rules-based calendar systems such as ProLaw, Compulaw, or eDockets software.
• Skills: Strong critical thinking skills for processing complex orders and analyzing their effects on deadlines, ability to research, analyze, and summarize issues, and excellent attention to detail for maintaining accurate calendar and docket dates.
• Bonus: Prior litigation paralegal or legal secretary experience preferred, prior work experience in large firms preferred, and familiarity with or willingness to learn AI platforms to enhance daily workflows.
