The Tone:
This is a full-time role at McNamee Walker PLLC, located in Melville, NY. The firm is a New York-based general liability defense firm dedicated to representing clients from case inception through trial across a broad range of complex matters including personal injury, wrongful death, medical malpractice, and construction accidents. This role is crucial because the Legal Secretary provides comprehensive administrative and legal support, enabling attorneys to efficiently navigate a fast-paced, detail-oriented litigation environment and serve diverse clients effectively.

What You’ll Actually Do
• Prepare and finalize legal documents: Create, format, and meticulously proofread a variety of legal documents, including correspondence, pleadings, and court filings, ensuring accuracy and adherence to specific legal and court requirements.
• Manage comprehensive case records: Maintain highly organized electronic and physical case files, ensuring all critical documents, evidence, and communications are accurately recorded, up-to-date, and readily accessible for attorneys.
• Coordinate attorney schedules and deadlines: Proactively manage and update attorney calendars, coordinating meetings, court hearings, and strict legal deadlines, and implementing effective diary management to ensure timely follow-up on all critical matters.
• Execute essential clerical and office tasks: Perform daily clerical duties efficiently, which includes answering and directing phone calls, processing all incoming and outgoing mail, and managing the production of documents.
• Facilitate external communications and liaison: Serve as a key point of contact, liaising effectively with courts, clients, and external vendors to ensure smooth communication and support ongoing legal processes and firm operations.

The Must-Haves
• Background: Possess a strong foundational understanding of law-related support functions, including practical familiarity with litigation processes and essential legal terminology. A high school diploma or equivalent is required for this position.
• Experience: Demonstrate prior experience supporting attorneys or legal assistants in a professional law firm or legal department setting. This includes proven proficiency in all aspects of legal document preparation, such as drafting, accurate formatting, and the proper filing of pleadings and complex motion papers.
• Skills: Exhibit robust clerical abilities, encompassing accurate typing, efficient document management, systematic filing practices, and proficient use of various office productivity software. Possess excellent written and verbal communication skills, coupled with strong attention to detail and accuracy, and the ability to manage multiple priorities while working both independently and collaboratively.
• Bonus: Prior professional experience specifically within insurance defense, personal injury, or medical malpractice litigation will be considered a significant advantage. An associate degree, a paralegal certificate, or other relevant legal training is strongly preferred.
