Legal Secretary | Lewis Brisbois

The Tone:
This is a full-time role at Lewis Brisbois, located in Newark, NJ. As a full-service AmLaw 100 firm, Lewis Brisbois is dedicated to providing comprehensive legal solutions across various practice areas. This position is vital for supporting a team of attorneys, ensuring the efficient and organized operation of legal cases and administrative tasks. The Legal Secretary will directly contribute to the firm’s productivity and client service by managing critical daily functions.

• Team: This role supports a minimum of four attorneys.
• Mission: This position ensures the efficient and compliant handling of legal documents, schedules, and financial tasks for multiple attorneys.
• Tech Stack: iManage, Aderant programs (especially Expert Assistant), Chrome River, Word, Excel, Zoom Workplace, electronic filing systems (for NY and NJ state and federal courts)

What You’ll Actually Do
• Docket Management: Manage dockets for legal cases, ensuring all deadlines and events are tracked accurately.
• Scheduling and Coordination: Coordinate complex appointments, including travel arrangements, depositions, and various meetings for attorneys.
• Document Filing and Service: File and serve legal documents in both state and federal courts for New York and New Jersey jurisdictions.
• Legal Document Creation: Draft, format, and prepare a variety of legal documents as directed by attorneys.
• Administrative Financial Support: Open new legal matters and process various financial-related tasks to support the attorneys.

The Must-Haves
• Background: This role requires a high school diploma or equivalent. Candidates should possess core domain knowledge specific to legal practice, particularly within a litigation setting, to effectively support attorneys.
• Experience: A minimum of three (3) years of direct legal experience is essential. Demonstrated experience with electronic filing systems in both New York and New Jersey state and federal courts is a key requirement for this position.
• Skills: Strong written and verbal communication abilities are necessary for interacting with attorneys, clients, and court personnel. Candidates must possess robust organizational skills to manage multiple priorities efficiently. The capacity to work under tight deadlines and prioritize diverse responsibilities is crucial. Additionally, the ability to maintain and handle confidential information with the utmost discretion is required.
• Bonus: Proficiency is strongly desired in specific legal and office software, including iManage for document management, Aderant programs (especially Expert Assistant) for legal billing and practice management, and Chrome River for expense management. Expertise in Microsoft Word, Excel, and Zoom Workplace is also preferred, along with general experience in electronic filing systems.
