This position is vital for supporting multiple attorneys and paralegals, ensuring efficient and professional operations through a wide range of administrative, executive, and legal secretarial support. • Team: Supports multiple attorneys and paralegals, including a Senior Attorney.
• Mission: To provide comprehensive administrative, executive, and legal secretarial support for the firm’s legal professionals, maintaining efficiency and high standards.
• Tech Stack: Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), computer/laptop, telephone, copy/fax machine, calculator, scanner.

What You’ll Actually Do
• Provide Comprehensive Support: Deliver a wide range of administrative, executive, and legal secretarial support to multiple attorneys and paralegals, including the Senior Attorney.
• Document Production & Management: Create, revise, and manage complex documents, correspondence, and agreements from rough drafts, extensive verbal instructions, and dictation, utilizing advanced Microsoft Office Suite features like tables of contents and field codes, and proofing for accuracy.
• Communication & Coordination: Handle telephone inquiries professionally, communicating effectively with internal staff and external clients through various channels, and coordinating transaction documents.
• Scheduling & Logistics: Efficiently schedule meetings using Outlook, make necessary travel arrangements, and maintain the ability to interact with staff at all levels.
• Organizational Management: Maintain multiple organized filing systems and indexes, and complete special projects or other duties as assigned to support organizational needs.

The Must-Haves
• Background: This role requires a professional with a minimum of 3 years of experience providing legal secretarial and administrative support, demonstrating a high level of professionalism and confidentiality within a legal environment.
• Experience: Candidates must possess proficiency in Microsoft Word, Excel, PowerPoint, and Outlook, including advanced computer skills for complex document creation, revision, and version management.
• Skills: Essential skills include excellent written and verbal communication, strong decision-making ability, acute attention to detail, active listening, critical thinking, information ordering, social perceptiveness, and effective time management to coordinate, analyze, and meet deadlines. The ability to work independently without continuous supervision is also required.
• Bonus: Previous experience working specifically at a law firm is preferred.
