Legal Practice Assistant | AMS Staffing Inc.

The Tone:
This is a permanent, full-time hybrid role at AMS Staffing Inc.’s client, located in Irvine, CA, with two days of remote work possible after an initial 90-day ramp-up period. This position is vital for supporting a litigation practice, focusing on the administrative needs of attorneys and timekeepers. The Legal Practice Assistant ensures the smooth execution of legal processes, contributing directly to operational efficiency and client satisfaction.

What You’ll Actually Do
• Proactively support attorney needs: Develop a deep understanding of department objectives and requirements to anticipate and address team needs with minimal supervision.
• Manage legal document preparation and filing: Prepare, file, and distribute legal documents in State and Federal courts, including electronic filings, correspondence, and binders.
• Handle administrative logistics: Oversee contacts, calendars, travel arrangements, expense reports, check requisitions, and the opening and closing of files.
• Facilitate accurate client billing and timekeeping: Code and enter timekeeper’s time and costs, manage prebills, edits, and distribution of invoices in partnership with the Billing team.
• Coordinate complex workflow and projects: Collaborate with internal and external resources to coordinate all aspects of workflow support for attorneys and complete various projects or tasks.

The Must-Haves
• Background: Mid-level professional with a minimum of five (5) years of administrative support experience in a legal or professional services environment.
• Experience: Required experience working specifically in Litigation, demonstrating significant Federal and State litigation knowledge, including local rules of courts.
• Skills: Excellent written and verbal communication skills, ability to manage multiple projects in a deadline-driven environment, and strong proficiency with Microsoft Office Suite products.
