Process Specialist | ProVest
The Tone:
This is a full-time role at ProVest. The company is dedicated to ensuring the accurate and timely receipt and processing of legal documents for clients within a collaborative team production environment. As a Process Specialist, you will play a critical role in maintaining efficient operations by meticulously managing data entry, file maintenance, and record keeping. Your attention to detail and proactive communication will be essential to client satisfaction and the seamless progression of legal cases.

What You’ll Actually Do
• Data Management: Input and update case statuses within the proprietary system and establish work priorities by pulling electronic reports for clients.
• Communication & Follow-up: Follow up with process servers via phone and email to obtain status updates and push for quick resolution of outstanding items.
• Compliance & Procedures: Apply specific client and county requirements to daily work production, developing familiarity with the Rules of Civil Procedure for supported states.
• Client & Vendor Relations: Provide daily communication with clients, vendors, and co-workers, maintaining professionalism and a positive rapport.
• Document Handling: Prepare, sort, reroute, and track documents, open mail, and review new case data, ensuring accurate record keeping and timely processing.
The Must-Haves
• Background: An early-level professional with a high school diploma or equivalent, possessing foundational domain knowledge in office administration and customer service.
• Experience: Minimum of two years of office and/or customer service experience.
• Skills: Strong written and verbal communication skills, proven ability to manage multiple priorities while maintaining strong organizational skills, knowledge of Rules of Civil Procedure for supported states, and proficient typing skills (30 wpm).
• Bonus: Intermediate proficiency in Microsoft Office applications, experience with office machine operations, and familiarity with legal documents.
