LEGAL ASSISTANT – Litigation, Transactional, and Office Support | Kaplan Kirsch LLP

What You’ll Actually Do
• Legal Document Management: Prepare, proofread, cite check, and format various legal documents such as pleadings, motions, and agreements, ensuring strict adherence to court rules and firm style guides.
• Case & Transaction Coordination: Manage electronic and physical filing systems, accurately docket court deadlines and case milestones, and coordinate the assembly of exhibits and closing binders for trials and transactions.
• Attorney & Client Billing Support: Conduct conflict-of-interest screenings, manage new matter onboarding, accurately capture and input attorney time, and review pre-bills against client guidelines.
• Office Operations & Logistics: Oversee general office upkeep, coordinate conference room scheduling and travel, manage incoming and outgoing mail, and maintain inventory of office and kitchen supplies.
• Regulatory E-Filing: Execute accurate and timely electronic submissions of pleadings, motions, briefs, and regulatory comments across various federal jurisdictions using platforms like CM/ECF, STB E-Filing, and FDMS.
The Must-Haves
• Background: Experienced professional with a minimum of five years as a legal assistant in a private law firm environment, demonstrating versatility across litigation, transactional, and office support.
• Experience: Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, Adobe, PowerPoint) and proven familiarity with citation verification and source pulling.
• Skills: High accuracy in document drafting, formatting, and proofreading; superior organizational, critical thinking, and communication skills; decisive judgment and the ability to work under minimal supervision; high attention to detail with the capacity to manage multiple matters and deadlines simultaneously; a proactive, team-first attitude, and a deep understanding of attorney-client privilege and firm confidentiality.
