Our small, established office prides itself on handling a diverse range of legal services, primarily focusing on critical real estate closings, comprehensive title work, and various other civil matters. We are seeking a dedicated Legal Assistant who will become an indispensable part of our team, ensuring the smooth operation of daily administrative tasks and directly supporting our attorneys. This role is crucial for maintaining the office’s overall efficiency, providing essential support for complex legal processes, and ensuring positive, professional client interactions in our close-knit environment.

What You’ll Actually Do
• Client Communication: Professionally manage all incoming phone calls and warmly greet clients visiting the office, ensuring a positive first impression.
• Administrative Coordination: Efficiently handle scheduling for attorney appointments and manage the office calendar, ensuring all deadlines and meetings are tracked.
• Document Management: Skillfully scan, save, and meticulously organize both digital and physical legal files, maintaining systematic and accessible records.
• Data and Filing: Accurately perform data entry tasks and manage the consistent filing and uploading of documents into relevant systems.
• Legal Support: Provide comprehensive assistance for real estate closing and title files, alongside supporting general civil litigation matters, which includes drafting documents for attorney review and preparing necessary materials.
The Must-Haves
• Background: Hold a Paralegal Certificate or a Bachelor’s Degree, demonstrating a foundational understanding suitable for legal support roles. This position is ideal for individuals ready to apply their education in a practical legal setting.
• Experience: Possess demonstrated proficiency in essential office software and systems, including Microsoft Word, email platforms, PDF management, scanning equipment operation, and basic data entry.
• Skills: Exhibit strong personal attributes including being reliable, highly organized, and professional in all interactions with clients. Candidates must be detail-oriented, possess strong follow-through capabilities to see tasks to completion, and feel comfortable and productive within a small office environment.
• Bonus: While not strictly required, prior experience in real estate closings or title work is highly valued. This includes familiarity with closing files, conducting title work, recording documents, performing lien searches, obtaining estoppels, conducting municipal searches, utilizing title software, or handling post-closing procedures. We are particularly interested in smart, quick-learning individuals with a positive energy, and those from top colleges and universities will receive expedited consideration, as we are willing to train the right candidate.
