Legal Assistant | Blume Forte
The Tone:
This is a full-time, in-office role at Blume Forte, located in New Jersey. The firm is seeking a highly skilled and detail-oriented legal assistant to provide essential support for plaintiff-side litigation, particularly in complex injury and medical malpractice cases. This role is crucial for managing case logistics, ensuring timely adherence to procedural demands, and maintaining organized client and expert information. The ideal candidate will contribute a positive, proactive attitude to support the legal team and firm operations.

• Mission: To provide exceptional, detail-oriented support for plaintiff-side litigation, ensuring efficient case management, adherence to deadlines, and precise document handling.
• Tech Stack: MS Word, Outlook, dictation and transcription software, online court filing systems, document management system (Smart Advocate a plus)
What You’ll Actually Do
• Litigation Support: Transcribe and proofread legal documents, e-file with the court, monitor incoming e-court documents, and manage associated deadlines by advising attorneys and updating diaries.
• Case & Records Management: Prepare and track HIPAA authorizations to secure medical records, request records from providers, and independently follow up to ensure all necessary documentation is received.
• Expert & Subpoena Coordination: Prepare expert packages, maintain a comprehensive log of experts for each case, draft tort claims notices, and prepare and serve subpoenas as required.
• Calendar & Deadline Oversight: Manage the attorney’s calendar, schedule and confirm meetings, send trial notices to all parties, and provide timely reminders to facilitate the meeting of critical deadlines.
• Administrative Operations: Process third-party and vendor invoices, open and scan mail to electronic files, answer phone calls, take messages, and redirect calls when appropriate.
The Must-Haves
• Background: Mid-level professional with a strong understanding of plaintiff personal injury litigation, medical terminology, complex injury cases, and medical malpractice procedural demands.
• Experience: A minimum of 3 years’ experience as a legal secretary or assistant in a plaintiff personal injury firm, with essential experience in legal and medical terminology, dictation/transcription software, online court filing systems, and a document management system.
• Skills: Superior written and oral communication, ability to type at least 60 wpm with high accuracy, high attention to detail (especially for proofreading), strong organizational and time-management skills, and the ability to multitask effectively.
• Bonus: Experience specifically in medical malpractice cases and familiarity with Smart Advocate software.
