The Tone:
This is a full-time role at Boies Schiller Flexner LLP, a prominent law firm. This position is critical for upholding the firm’s operational efficiency and legal support structure, providing high-level secretarial and administrative assistance to assigned attorneys. The Legal Assistant will play a key part in ensuring that all legal processes are executed with precision, documents are meticulously prepared, and client communications are managed with the utmost discretion and confidentiality. The role demands superior judgment and the ability to operate with minimal supervision, underscoring its importance to the seamless functioning of attorney workflow and overall firm objectives.

• Team: Reports to the Regional Human Resources Manager; supports assigned attorneys.
• Mission: To provide high-level secretarial and administrative support to attorneys, ensuring efficient and organized legal operations with minimal supervision.
• Tech Stack: MS Office 365, MS Word, PowerPoint, Excel; knowledge of Westlaw and Lexis (helpful); familiar with NetDocs or a similar document management system; familiar with Chrome River or a similar expense management software; familiar with iTimeKeep or similar attorney timekeeping software.

What You’ll Actually Do
• Document Preparation: Prepare and proofread a variety of legal documents and correspondence, thoroughly editing for proper phrasing, grammar, and consistency. This includes reformatting, spell-checking, and finalizing attorney work product to ensure accuracy and professional presentation.
• Communication Management: Independently manage incoming telephone inquiries, providing information to clients or other callers, assessing the urgency of calls, and routing them to the appropriate person while respecting confidentiality. This also involves composing correspondence, memoranda, and drafts of routine documents for attorney review and signature, sometimes on own initiative.
• Calendar and Travel Coordination: Schedule appointments and meticulously maintain the attorney’s calendar. This includes receiving and assisting clients, referring them as necessary, arranging business itineraries, making travel arrangements, and independently preparing detailed travel/entertainment expense reports based on receipts and itineraries.
• File and Information Maintenance: Systematically maintain client and administrative files in strict accordance with Firm procedures, which involves keeping current lists of files, account numbers, client names/addresses, and other required information. A critical aspect of this duty is preserving and protecting the confidences and privileged communications of all clients.
• Court Filings and Research Support: Provide comprehensive assistance to attorneys and paralegals with state and federal court filings, including the preparation and editing of Tables of Contents and Tables of Authorities. Additionally, duties may extend to basic cite checking, document review, abstracting information, and performing legal research as requested by attorneys.

The Must-Haves
• Background: Associate’s degree (A.A.) or equivalent from a two-year college or technical school in a relevant field, coupled with a strong foundation in legal secretarial practices.
• Experience: At least five years of dedicated legal secretarial experience, with a minimum of three years specifically in litigation. Preference is given to experience gained within a law firm environment. The role demands superior judgment and the ability to perform duties effectively with minimal supervision and assistance.
• Skills: Demonstrated advanced secretarial skills, including proficiency with MS Word and a typing speed of 70 words per minute. Possesses excellent English language skills, a sharp attention to detail, strong interpersonal skills for interacting with all levels of Firm personnel, clients, and vendors, and the ability to maintain organization and multitask effectively.
• Bonus: Beneficial qualifications include a working knowledge of Westlaw and Lexis, familiarity with navigating NetDocs or a similar document management system, experience with Chrome River or a similar expense management software for reports, and proficiency with iTimeKeep or similar attorney timekeeping software.
