What You’ll Actually Do
• Document Preparation: Assist with the preparation and formatting of various legal documents, ensuring accuracy and adherence to firm standards.
• Correspondence Management: Manage all office correspondence, including sorting mail, drafting general communications, and ensuring timely distribution.
• Client Interaction: Respond promptly and professionally to all incoming phone calls and emails from clients, opposing counsel, and other external contacts, relaying messages accurately.
• Scheduling & Travel: Coordinate and schedule internal and external meetings, appointments, and travel arrangements for attorneys and paralegals, managing calendars effectively.
• Deadline Tracking: Proactively monitor and communicate upcoming legal deadlines to the team, helping to ensure all filings and tasks are completed on schedule.
The Must-Haves
• Background: Professionals with foundational knowledge in legal administrative support, understanding the operational rhythm and needs typical of a busy law firm environment.
• Experience: Demonstrable prior experience working directly in a law firm or similar legal professional setting, contributing to daily administrative functions and client support.
• Skills: Proven efficiency in managing multiple tasks simultaneously, strong organizational skills to maintain orderly office operations, and the ability to work effectively and maintain composure under pressure to meet critical deadlines.
