IP Legal Administrative Assistant | Clark Hill Law
The Tone:
This is a full-time role at Clark Hill Law, located in Scottsdale, AZ. Clark Hill is an AmLaw 200 law firm with over 700 attorneys across 29 offices, dedicated to delivering outstanding service to clients by empowering talented individuals. This role provides essential legal secretarial and administrative support to assigned attorneys, ensuring the efficient operation of their practice. This position is critical for supporting the specialized needs of the patent and trademark group, managing all phases of filing, prosecuting, and maintaining intellectual property for the firm’s clients.

• Mission: This role ensures efficient legal secretarial and administrative operations for assigned attorneys, specifically supporting the patent and trademark group.

What You’ll Actually Do
• Support: Provide comprehensive legal secretarial and administrative assistance, including answering phones and entering attorney time.
• Documentation: Prepare various legal and internal documents such as letters, memos, engagement letters, and expense reimbursement forms.
• Client Intake: Manage client information entry for conflict checks and prepare new client documentation.
• Filings: Prepare and file patent and trademark applications, responses, assignments, and powers of attorney with the USPTO.
• Management: Maintain specialized IP department databases, electronic files, and a comprehensive calendar/deadline reminder system.
The Must-Haves
• Background: Experienced legal administrative professional with a minimum of three years dedicated to Intellectual Property. Possesses in-depth knowledge of U.S. and foreign patent, trademark, and copyright application processes, procedures, terminology, forms, and associated deadlines.
• Experience: Minimum of 3 years of Intellectual Property experience, with demonstrated ability to navigate various USPTO patent and trademark databases, portals, and filing systems. Experience in a high-volume legal practice is preferred.
• Skills: Proficient in all aspects of Office 365, with excellent attention to detail and superb proofreading abilities. Capable of prioritizing and managing a diverse, high-volume workload through exceptional organizational skills, while exhibiting sound judgment and business acumen.
• Bonus: Certified Legal Secretary designation is a plus.
