Job description:

We are seeking a detail-oriented and process-driven professional to join our team and support one of the most critical functions in our business—managing the IT and cybersecurity investment baseline. What we’re looking for:

Process Orientation: Strong understanding of procurement workflows, including needs validation, quote gathering, approvals, and PO issuance.
Stakeholder Coordination: Experience working with cross-functional teams (IT, cybersecurity, finance, procurement) to drive actions and meet deadlines.
Attention to Detail: Ability to track renewal dates, investment timelines, and documentation to prevent delays or overspending.
Communication & Follow-through: Excellent communication skills and persistence to keep stakeholders informed and on track.
Tool Proficiency: Familiarity with procurement systems, Excel, and project management tools. Ability to come up to speed quickly on the Balance Theory platform and ability to support our client’s use and adoption of the platform.

Core Responsibilities:

IT Investment & Renewal Management
• Maintain a baseline of all IT and cybersecurity investments, including contract values, terms, renewal timelines, and vendor contacts within the Balance Theory platform.
• Track upcoming renewals and ensure timely execution of reviews, quotes, approvals, and purchase orders.
• Work with the IT and cybersecurity teams to validate program needs and ensure alignment with current investment strategy.
Cross-functional Process Support
• Facilitate internal quote requests and engage vendors for pricing and service confirmations.
• Coordinate the internal approval process and coordinate with IT leadership on budget requests.
• Submit and follow up on purchase orders, ensuring proper documentation and audit trail.
Governance & Reporting
• Provide periodic reporting on investment baselines, renewals status, and risks of lapse.
• Identify areas where investment tracking or processes can be streamlined or improved.
