IP Trademark Legal Administrative Assistant | Akerman LLP

The Tone:
This is a full-time hybrid role at Akerman LLP, located in New York, NY, with a minimum requirement of three days per week in the office. Founded in 1920, Akerman is recognized as one of the nation’s premier law firms, with more than 700 lawyers across the United States. This critical role ensures the efficient management of trademark matters and client communications by providing essential administrative and operational support to multiple attorneys in the Trademark Practice Group.

The TL;DR

• Mission: To provide essential administrative and operational support for the efficient management of trademark matters and client communications.
• Tech Stack: USPTO Trademark Center, TEAS, TTAB electronic case access and filing systems, iManage, Intapp, Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), billing systems, trademark docketing systems.

What You’ll Actually Do
• Support: Provide comprehensive administrative and operational support to attorneys and paralegals.
• Coordination: Assist with administrative coordination, including matter intake, renewals, and document management throughout the trademark lifecycle.
• Billing: Offer billing support by reviewing and processing invoices, ensuring accuracy to facilitate timely collection.
• Documentation: Draft and prepare engagement letters for attorney and client execution, and open new matters.
• Maintenance: Conduct heavy file maintenance and perform various other administrative duties as assigned.

The Must-Haves
• Background: Experienced legal administrative professional with thorough knowledge of trademark prosecution processes and terminology.
• Experience: No less than five years of administrative experience, preferably in a law firm environment, with document management and billing systems.
• Skills: High proficiency in Microsoft Office Suite applications, billing systems, and trademark docketing systems; working knowledge of the USPTO Trademark Center, TEAS, and TTAB electronic systems; excellent communication, organizational, and time management abilities.
• Bonus: Familiarity with intellectual property litigation processes; experience opening new matters and preparing intake forms; and experience drafting engagement letters.
