Job Description: Event Production Coordinator
Location: New York, NY
This role provides direct support to senior event managers and directors across several Condé Nast brands (GQ, Pitchfork, Vanity Fair, and Vogue). Responsibilities span the entire event lifecycle, from initial planning and ideation through implementation and post-event analysis.
Primary Responsibilities:
• Pre-Event Planning & Budgeting: Assisting senior event managers in planning and ideation; tracking budgets, margins, and timelines; conducting venue and vendor research; compiling recommendations and supporting negotiations; managing partnerships with brands and vendors to optimize budgets and secure cost savings.
• Event Execution & Client Management: Coordinating client activations; working with commercial teams to ensure seamless execution; facilitating feedback collection and approval tracking; managing event collateral.
• Reporting & Communication: Preparing event decks, presentations, and reports for internal and external stakeholders; maintaining effective communication with various teams and stakeholders.
• Administrative & Operational Support: Providing logistical and administrative support; assembling creative and innovative event activations aligned with client goals and brand strategies; supporting the identification and development of new event opportunities; coordinating US-led and international events.
• Other Duties: Performing additional administrative and operational duties as assigned.
Skills & Experience:
• Bachelor’s degree in a related field.
• Minimum 2 years of event production experience.
• Ability to work independently and collaboratively.
• Strong interpersonal skills and relationship-building abilities.
• Comfort working in a fast-paced, high-energy environment with strong multitasking and prioritization skills.
• Highly organized and detail-oriented approach.
• Excellent written and verbal communication skills, proactive problem-solving.
• Strategic thinking abilities to support event planning and execution.
• Experience managing internal and external vendors.
• Proficiency in G Suite, Microsoft Office Suite, LaunchMetrics, Bizzabo, Swoogo, and other event management tools.
Compensation:
The expected base salary range is $66,000-$74,000, with additional discretionary bonus compensation potential. A generous employee benefits package is also offered.
