Job Description

This is a temporary position specifically designed as a maternity leave replacement.

What You Can Expect / How You’ll Create Impact (Key Responsibilities):

The role primarily provides administrative support to Zimmer Biomet’s international Medical Education and Events team. The successful candidate will play a crucial part in assisting with the planning, execution, and reconciliation of logistic organization for a variety of events, which include virtual, physical, or hybrid formats, as well as sales & marketing meetings and congresses.

Specific responsibilities include:

Support for Event Development: Assisting in the development of meeting goals and objectives, ensuring adherence to MedTech Europe guidelines and Zimmer Biomet’s Corporate Compliance program.
Planning and Back-Office Support: Aiding in the planning of events and booth development for congresses, primarily from a back-office perspective.
Budget Management: Preparing preliminary, working, and final meeting budgets.
On-Site Execution: Contributing to on-site event execution, with a strong focus on ensuring a positive Customer Experience.
Alignment with Goals: Ensuring that the outcomes of meetings, corporate events, and congresses align with the Corporate Goals & Objectives.
Material and Logistics Management: Developing event materials and managing various logistical elements such as Food & Beverage (F&B), Time & Events schedules (T&E), Arrival & Departures manifests (A&D manifests), Banquet & Event Orders (BEOs), housing lists, and confirmation notices.
HCP Process Requirements: Handling all internal and external process-related requirements concerning Health-care Professionals (HCPs).
Stakeholder Interface: Effectively interacting with a diverse group of internal and external personnel, including senior management, distributors, sales associates, customers, the travel office, and various vendors.
Post-Event Duties: Managing post-event tasks such as invoice reconciliation, charge backs, and expense analysis.
Travel Management: Specifically managing travel, particularly for HCPs, including both internal and external process requirements.

Your Background (Education & Professional Experience):

Education: A degree in commercial education or a commercial apprenticeship is preferred, ideally from the meeting and congress industry or a similar commercial industry.
Professional Experience: Ideally, candidates should have 2-3 years of coordinator experience in events and a back-office environment. A combination of education and experience will be considered.

Travel Expectations:
