Job Description: Event Coordinator

Revalize is seeking a highly organized, proactive, and detail-driven Event Coordinator to join its energetic and fast-paced marketing team. This role is ideal for someone early in their career who is eager to learn and grow in event marketing within a dynamic SaaS environment. You will be instrumental in supporting a variety of high-impact events designed to drive engagement and pipeline, with the guidance of an experienced Head of Events and a collaborative team.

This is a full-time, bonus-eligible position. The company operates on a remote-first model, with standard working hours designated as 8:00 am to 5:00 pm Eastern Time (ET) for US employees.

Key Responsibilities:

  • Support the comprehensive planning and execution of approximately 30 events annually, primarily across the North American (NORAM) region. This includes a diverse range of event types such as tradeshows, webinars, and customer/partner events.
  • Coordinate all logistical aspects for various events, including tradeshows, webinars, and customer gatherings.
  • Assist with event registration processes, manage attendee communications, and support on-site planning and execution.
  • Organize, pack, and ship marketing materials, company swag, and booth assets to event locations.
  • Manage communication with vendors, process invoices, and ensure timely payments.
  • Maintain and update project timelines using Monday.com, ensuring all stakeholders are aligned and informed.
  • Provide support for webinar setup and delivery, utilizing platforms such as Zoom.
  • Aid in lead capture processes, data upload, and contribute to post-event performance reporting and analysis.
  • Collaborate effectively with cross-functional teams including Sales, Product Marketing, and Content to ensure consistent messaging and promotion for all events.

Qualifications:

  • 2-3 years of experience in event planning or a related field.
  • A Bachelor’s degree in Event Management, Hospitality, or a related field is preferred.
  • Demonstrated track record of successfully planning and executing various types of events.
  • Strong organizational skills with the proven ability to manage multiple projects simultaneously and prioritize tasks effectively.
  • Excellent time management abilities, with the capacity to work under pressure and consistently meet deadlines.
  • Exceptional communication and interpersonal skills, facilitating effective collaboration with internal teams and external vendors.
  • Proficiency in Microsoft Office Suite and familiarity with event management software.
  • Strong problem-solving skills and a creative approach to overcoming challenges.
  • Detail-oriented with a strong focus on delivering high-quality results.
  • Flexibility to work outside of regular business hours when event schedules require.
  • Knowledge of current event industry trends and best practices.
  • Ability to work independently in a remote environment while maintaining strong collaboration and communication with team members.
  • Quarterly travel is required, primarily to main events.

Additional Information:

Qualified applicants will be asked to complete a 30-minute online assessment as part of the application process. The base salary offered will be determined by a variety of factors, including the candidate’s work experience, education, licenses, training, key skills, and the core duties and responsibilities of the role.
