Departmental Assistant – SWEC Tinley Park (part-time)

Duties:
Under general supervision, the Departmental Assistant performs varied clerical duties. Position requires knowledge of general office routine and procedures. The Departmental Assistant is dedicated to the learning college concepts by developing programs and facilitating activities that promote student success and lifelong learning.
Duties may include the following, other duties may be assigned:
- Performs a variety of duties and takes on a variety of responsibilities that are specific to the office of assignment and that require knowledge of the procedures, functions, and software programs used by this area.
- Maintains front-office management and department organization, including filing, copying, organizing, and updating correspondence and other records. Assists with various office related tasks.
- Reads and routes incoming mail; prepares outgoing mail; monitors the department’s email.
- Composes, types, and sends emails, letters, and correspondence without supervision.
- May assist in compiling periodic reports.
- Answers telephone and assists callers or routes call to appropriate official or department and places outgoing calls without supervision.
- May schedule appointments for supervisor and staff.
- Greets visitors, ascertains nature of business, and refers visitors to supervisor or appropriate person or department.
- Assists, corresponds, and interacts with students on a daily basis, including, serving as a liaison between students, parents, faculty, staff, and the department; referring them to the appropriate departments and resources, on and off campus; and providing technical assistance.
- May assist student employees and department tutors as needed.
- Performs related duties as assigned.
Education/Experience:
High school diploma or general education degree (GED) with some specialized training (educational or vocational); minimum of one year clerk-typist or secretarial experience in a general office environment experience required. Please be sure to clearly list this on your resume.
Note: Software and skills proficiency testing for the specific position will be required upon hire and must be successfully completed within the probationary period, if this testing has not been previously completed. Proficiency testing includes basic Word, basic Excel, alpha filing, keyboarding/typing test, etc.
Qualifications:
- Ability to perform general office duties for area.
- Ability to communicate effectively with visitors, community members, staff, students and others.
- Customer service-oriented with good computer skills (including keyboarding, Word, Excel).
- Ability to read and comprehend instructions, short correspondence, and memos.
- Ability to write correspondence.
- Effective communication skills.
- Effective interpersonal skills.
- Must possess basic bookkeeping skills.
- Ability to work independently and exercise good judgment.
- Ability to type 40 words per minute.
- Ability to use a computer and Microsoft Office.
- Ability to learn and use various department-specific software programs.
- Good organizational skills.
Position Status:
Part Time
Hours:
General Hours: Monday-Thursday 2 – 7 p.m., Friday 12 – 5 p.m.
Monday-Friday 12 – 5 p.m. when no classes are in session.
Hours may be adjusted (i.e. Summer semester hours may be different).
Salary/Wage:
$15.97- $16.45/hour
