Consumer & Retail Group Junior Administrative Assistant | Operations Coordinator | Alvarez & Marsal (A&M)

The Tone:
This is a full-time, hybrid role at Alvarez & Marsal (A&M), located in New York City, supporting the high-growth Consumer & Retail Group (CRG). This role is crucial for enabling the seamless operation of the CRG’s management consultants and leadership, contributing to the practice’s continued growth and success by ensuring efficient administrative and operational processes.

• Mission: Provide comprehensive administrative and operational support to the Consumer & Retail Group, ensuring smooth functioning for consultants and clients.
• Tech Stack: MS Word, Excel, PowerPoint, Outlook, Concur (or other expense/travel booking tool), Agresso (or other time management tool)

What You’ll Actually Do
• Manage schedules and logistics: Partner with 4-5 CRG Managing Directors to manage complex calendars, arrange intricate travel and logistics, and process heavy expense report submissions and time sheets.
• Facilitate communications and meetings: Coordinate meetings and conference calls, prepare and edit correspondence, communications, and presentations, and manage conference room scheduling and catering.
• Provide team support and coverage: Collaborate with the Executive Assistant team to ensure coverage for Managing Directors, handle general office tasks like filing and mail, and greet clients and visitors.
• Administer client project operations: Support client project invoicing, check memos, create project codes, and manage detailed invoice tracking.
• Optimize internal processes: Identify opportunities to enhance work processes and contribute to best practices protocols for shared team documents, building relationships across the organization and with clients.

The Must-Haves
• Background: A Bachelor’s degree is required; experience gained specifically within a professional services firm or management consulting firm is essential.
• Experience: 2 to 5 years of relevant experience serving as an Assistant or a Recruiting Coordinator, demonstrating proficiency in administrative and operational support functions.
• Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); adept with expense reporting tools (e.g., Concur), travel booking tools (e.g., Concur), and time management systems (e.g., Agresso). Strong communication across various mediums, exceptional time management, and prioritization capabilities are critical.
• Bonus: Exhibits proactive, resourceful, and instinctive problem-solving abilities; thrives as a team player in a fun work environment with action-orientation and drive; possesses strong decision-making skills; demonstrates a willingness to learn, grow, and adapt to ambiguous or changing priorities.
