Legal Assistant | Madison Metropolitan School District

The Tone:
This is a full-time, non-exempt role at the Madison Metropolitan School District, located in Madison, WI. This position is crucial as the first point of contact for public stakeholders and provides confidential administrative support to the vital Office of Legal Services, contributing directly to the district’s mission.

The TL;DR

• Location: In-person, Doyle Administration Building, Madison, WI
• Pay: $36.53 hourly
• Team: Reports to the General Counsel
• Mission: Provides essential administrative, legal, and financial support to the Office of Legal Services and serves as a primary public contact for the department.
• Tech Stack: Microsoft Office Suite, Enterprise ERP, Boarddocs, Google Workspace

What You’ll Actually Do
• Office Administration: Manage reception duties, schedule appointments, order supplies, and maintain confidential records for the Legal Services team.
• Legal Documentation & Research: Draft and proofread confidential legal documents, assist with litigation preparation, and conduct basic legal research.
• Financial Management: Process payroll, prepare invoices for payment, and monitor the departmental budget and expenditures.
• School Board Coordination: Prepare and coordinate legal notices for School Board elections, referendums, proceedings, financial transfers, and assist with policy updates.

The Must-Haves
• Background: High school diploma combined with 3 years of executive-level secretarial or administrative support experience, or an equivalent combination of experience and formal training.
• Experience: 5 years of experience in a legal setting, or an equivalent combination of experience and formal training, including experience with basic project management tools and techniques.
• Skills: Exceptional organizational skills, the ability to maintain subject matter confidentiality, strong verbal and written communication skills, and expertise with Microsoft Office Suite and enterprise systems.
• Bonus: Associate’s degree in paralegal studies, and a Four-Year Notary Public Commission from the Wisconsin DFI (or the ability and willingness to obtain within four months of hire).
