Office Manager | Coast to Coast Association Management

The Tone:
This is a full-time, in-person role at Coast to Coast Association Management, a company dedicated to managing community associations. The company focuses on supporting homeowners and Board Members to ensure well-maintained and efficiently run communities. This position is vital for maintaining the smooth daily operations of an office and providing essential support services that contribute to community well-being and satisfaction.

• Team: Works closely with Board Members, vendors, coworkers, and an LCAM; may manage maintenance personnel.
• Mission: Ensures efficient administrative, financial, and community operations to provide excellent service to association members and boards.
• Tech Stack: Google Drive, Company’s management software

What You’ll Actually Do
• Manage Communications: Answer incoming calls, emails, and customer inquiries, providing professional and courteous service to homeowners, Board Members, vendors, and guests.
• Coordinate Community Operations: Serve as the primary on-site contact, respond to homeowner questions, coordinate vendor services for maintenance and community projects, and conduct weekly community inspections.
• Oversee Administrative Processes: Prepare essential documents such as correspondence, meeting agendas, and reports, maintain organized filing systems, and accurately enter records into management software.
• Support Financial Operations: Assist with processing invoices, obtaining approvals, managing owner payments, and maintaining confidential financial information for the association.
• Ensure Office Efficiency: Maintain an organized workspace, adhere to company safety and confidentiality procedures, and report any maintenance or technology issues affecting operations.

The Must-Haves
• Background: Managerial experience in an office environment, with core domain knowledge in office administration, community association support, and financial processes.
• Experience: 2+ years of bookkeeping experience, proven ability to manage time effectively and efficiently, and experience managing personnel, specifically maintenance staff.
• Skills: Proficient knowledge of Google Drive, excellent customer service abilities, strong organizational skills, and clear communication skills both verbally and in writing.
• Bonus: Real estate experience is a plus.
