Commercial Real Estate Legal Assistant | Stearns Weaver Miller

The Tone:
This is a legal assistant role at Stearns Weaver Miller, a full-service commercial law firm with five offices across Florida, located in our Miami office. This position is crucial for providing comprehensive legal and administrative support to attorneys and paralegals specializing in commercial real estate. The individual in this role will play a key part in ensuring the smooth execution of legal processes and the efficient management of client matters. Your expertise will directly contribute to the firm’s success in handling complex commercial real estate transactions.

• Mission: Provide essential legal and administrative support to facilitate commercial real estate transactions and maintain efficient firm operations.
• Tech Stack: Microsoft Office Suite (Outlook, Word, Excel), Document Management Systems (e.g., iManage)

What You’ll Actually Do
• Document Preparation: Prepare, review, revise, and proofread various legal documents and correspondence, ensuring accuracy and proper formatting.
• Transactional Support: Assist attorneys and paralegals with all phases of pre- and post-transaction closings, including the preparation of closing binders.
• Financial Management: Handle monthly client billing processes, review prebills for accuracy, and assist with timekeeper inquiries and narrative edits.
• Client & Matter Administration: Assist with conflict checks, the opening and closing of client matters, and maintain both paper and electronic files.
• General Administrative Tasks: Perform a range of administrative functions such as processing new client/matter reports, preparing engagement letters, scheduling calls, filing expense reports, entering attorney time, and answering phones.

The Must-Haves
• Background: Experienced professional with 5+ years in a commercial real estate legal support role, such as a Legal Assistant or Paralegal.
• Experience: Possess 5+ years of experience specifically in commercial real estate legal support and advanced proficiency in Microsoft Office Suite, particularly Outlook, Word, and Excel. You must also have experience with Document Management Systems like iManage.
• Skills: Demonstrate excellent organizational and communication skills, the ability to meet tight deadlines while managing changing priorities, and strong analytical and problem-solving capabilities. You should also exhibit initiative, good judgment, and the capacity to manage multiple tasks effectively.
