Clerical Associate | City of New York

The Tone:
This is a full-time role at the City of New York, located in New York, NY. The NYC Law Department is seeking a Clerical Associate to provide essential administrative and legal support across various divisions. This position is vital for the day-to-day operations, ensuring the efficient handling of legal documents, data management, and communication that enables attorneys and support professionals to work effectively. The selected candidate will contribute to enhancing the practices and tools that underpin consistent, high-quality service to the Department and the public it serves.

• Team: Varies across Family Court, Labor and Employment, General Litigation, Special Federal Litigation, or Operations Divisions, potentially supervising a small unit in Operations.
• Mission: To provide essential clerical and administrative support that facilitates the efficient operation of the NYC Law Department and its various legal divisions.
• Tech Stack: Lexis, Law Manager, OCA database, Microsoft Office applications, various package vendors systems.

What You’ll Actually Do
• Data Management: Perform citywide data entry and data entry review for cases, retrieve information from computer systems, and update Law Manager by entering dispositions and archive file information.
• Administrative Support: Maintain filing systems, perform shredding and copying, conduct internet searches, prepare charts and graphs, and manage the supply room, including ordering supplies as needed.
• Communication & Reception: Handle general receptionist duties, which may involve dealing with members of the public and outside agencies, answering phones, relaying messages, and creating and mailing correspondence.
• Document Processing: Review and prepare legal documents, open and sort mail for distribution, process requests received electronically, verbally, and in writing, and scan or photocopy litigation documents and files.
• Workflow & Coordination: Route and deliver mail to Division lawyers, work with paralegal supervisors to maintain reassigned case files, archive cases, update archive spreadsheets, and pick-up, deliver, serve, and/or file legal documents throughout the boroughs.

The Must-Haves
• Background: A four-year high school diploma or its educational equivalent approved by a State’s department of education or a recognized accrediting organization.
• Experience: One year of satisfactory clerical experience.
• Skills: Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute, excellent written and oral communication skills, and expertise in applicable data entry and Microsoft Office applications.
• Bonus: May supervise and instruct a small unit engaged in clerical activities; plan, assign, and review the work of subordinates; and serve as primary assistant to a supervisor of a section or unit.
