Case Administrator, NYSI | American Arbitration Association
The Tone:
This is a hybrid role at American Arbitration Association, located within a 125-mile radius of Buffalo, NY or downtown Manhattan. The American Arbitration Association (AAA) is the leading provider of arbitration and mediation dispute resolution services. This position offers crucial administrative support for arbitration cases, ensuring adherence to AAA rules and NYS Department of Financial Services regulations for dispute resolution and efficient case management.

What You’ll Actually Do
• Document Management: Reviews, identifies, and categorizes case-related documents received from internal and external parties, then uploads, enters data, and records them in the system, ensuring accurate identification and categorization.
• Information and Scheduling: Provides information on procedural, billing, and case status inquiries; reviews legal documents such as stipulations, court orders, and insurance policies; disseminates correspondence; and updates case status and schedules hearings.
• Case Progression Oversight: Initiates and maintains an efficient flow of information for arbitration cases, processing arbitrator dispositions and adjournment requests, managing arbitrator calendars, and arranging phone conferences to ensure timely transmittal of case-related correspondence.
• Medical Professional Assignment: Determines and assigns appropriate medical professionals as requested by arbitrators to review independent medical exams provided by the parties involved in cases.
• Regulatory Adherence and Confidentiality: Articulates advanced knowledge of arbitration sections within NYS Regulation 68 and NYS Regulation 35D related to NYSI Division operations, appropriately addressing inquiries from parties and ensuring strict confidentiality of all case information and records.
The Must-Haves
• Background: An Associate’s degree in business, legal studies, or a related field; foundational knowledge of case administration, legal terminology, and the operational aspects of the NYSI Division.
• Experience: A minimum of 2 years of relevant work experience in customer service, medical/liability insurance, case administration, or a legal environment.
• Skills: Advanced understanding of arbitration sections within NYS Regulation 68 and NYS Regulation 35D, alongside NYS insurance forms; exceptional customer service, communication, and problem-solving abilities; strong organizational skills and attention to detail for managing multiple tasks while adapting to changing priorities; intermediate proficiency with Microsoft Excel, Word, and web-based case management systems; ability to exercise good judgment and discretion when handling sensitive information.
