ARC Legal Assistant | Cozen O’Connor
The Tone:
This is a full-time role at Cozen O’Connor, operating within an innovative centralized team of experienced administrative professionals. This position provides essential support to attorneys and various practice groups, ensuring efficient and accurate processing of client matters. • Tech Stack: Microsoft applications, Microsoft Word, Outlook, Big Hand, Firm’s electronic docketing system, electronic Document Management Systems (iManage preferred)
What You’ll Actually Do
• Prepares Legal Documents: Drafts and transcribes a variety of legal correspondence, pleadings, memos, reports, and forms from dictation or other media.
• Manages Client and Matter Administration: Processes new client and matter forms, engagement letters, invoices, and other case administration documents as directed by legal staff.
• Handles Court Filings and Scheduling: Prepares and processes documents for E-Filing, inputs critical dates into the firm’s electronic docketing system, and schedules depositions and mediations.
• Maintains Documentation and Records: Organizes and maintains client and office files within both electronic and paper filing systems.
• Facilitates Communication and Coordination: Communicates with clients via phone or email, and liaises with third-party vendors to coordinate services.
The Must-Haves
• Background: Experienced legal support professional with a High School Diploma or equivalent; possesses core domain knowledge in litigation and corporate law.
• Experience: 5-10 years of legal or related experience is preferred. Demonstrated proficiency in Microsoft applications, particularly advanced Word and Outlook, and required experience with electronic Document Management Systems (iManage preferred). Required experience with local State and Federal Court Rules for E-Filings, including agencies such as the EEOC and NLRB.
• Skills: Outstanding written and verbal professional communication skills with the ability to interact professionally with clients, attorneys, and staff. Strong technical legal writing, memo, and letter creation abilities; excellent document processing, typing, and proofreading skills with a high level of attention to detail. Capable of managing multiple tasks and projects simultaneously with a high degree of resourcefulness and problem-solving acumen, including the ability to work overtime.
• Bonus: College degree preferred; willingness to expand Court Rule and E-Filing knowledge within other jurisdictions.
