Job Summary:
The MDH Board of Nursing is seeking a highly organized, proactive, and detail-oriented Assistant to HR Liaison (Administrative Officer II) to provide comprehensive administrative and human resources support. This full-time position is critical in ensuring the efficient operation of HR functions and general administrative processes within the Board. The successful candidate will act as a key support person, assisting the HR Liaison with various tasks, maintaining confidentiality, and contributing to a positive and productive work environment for all staff.
Key Responsibilities:
- Administrative Support: Provide high-level administrative assistance to the HR Liaison and departmental management, including managing calendars, scheduling meetings, preparing agendas, drafting correspondence, presentations, and various reports.
- HR Process Coordination: Assist with all phases of HR processes, including support for recruitment activities (e.g., posting job openings, scheduling interviews, coordinating candidate communications), new employee onboarding, and processing personnel actions.
- Data Management & Record Keeping: Maintain accurate and confidential employee records, HR databases, and other relevant files in compliance with federal, state, and agency regulations. Ensure data integrity and prepare routine and ad-hoc reports as required.
- Communication & Information Dissemination: Serve as a primary point of contact for internal and external inquiries related to HR policies, procedures, benefits, and general administrative matters. Effectively disseminate information and direct complex questions to the appropriate HR personnel.
- Policy & Procedure Assistance: Assist in the research, compilation, and distribution of HR-related policies, procedures, and updates to ensure all staff are informed and compliant.
- Office Operations: Manage office supplies inventory, coordinate equipment maintenance and repairs, and support general office management tasks to ensure seamless day-to-day operations.
- Confidentiality: Handle sensitive and confidential employee information, documents, and discussions with the utmost discretion and professionalism.
- Special Projects: Participate in and support various special projects, initiatives, and events as directed by the HR Liaison or other departmental leadership.
Qualifications:
- Education: A High School Diploma or GED is required. An Associate’s or Bachelor’s degree in Business Administration, Human Resources, Public Administration, or a related field from an accredited college or university is strongly preferred.
- Experience: Minimum of two (2) years of progressively responsible administrative support experience. Experience providing direct support in a Human Resources department or in a role with significant HR-related responsibilities is highly desirable.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Experience with HR Information Systems (HRIS) or similar database management software is a significant plus.
- Communication Skills: Exceptional written and verbal communication skills, with the ability to articulate information clearly, concisely, and professionally to diverse audiences.
- Organizational Skills: Superior organizational skills, meticulous attention to detail, and the proven ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced, dynamic environment.
- Interpersonal Skills & Professionalism: Strong interpersonal skills with a customer service orientation. Ability to maintain a professional demeanor, exercise sound judgment, and foster positive working relationships.
- Problem-Solving: Demonstrated ability to work independently, proactively identify and resolve administrative issues, and adapt to changing priorities.
