Assistant Managing Clerk | Beacon Hill

The firm’s Litigation Department manages a diverse caseload, requiring precise and timely handling of legal documentation. The Assistant Managing Clerk position is integral to the department’s success, ensuring that all legal documents are efficiently processed, accurately filed, and meticulously tracked across various state and federal courts. This role directly contributes to the firm’s operational excellence and supports attorneys and legal staff in navigating complex judicial processes.

What You’ll Actually Do
• Document Coordination: Coordinate the seamless filing, proper service of process, and efficient retrieval of legal documents by actively liaising with court personnel and external vendors, ensuring all procedural requirements are consistently met.
• Electronic Filing: Prepare and accurately electronically file a broad range of legal documents across various state and federal courts, maintaining strict compliance with all specific court rules and e-filing system protocols.
• Docket Management: Meticulously maintain accurate and comprehensive docket entries, actively managing all litigation deadlines using the firm’s established case management system to prevent any missed critical dates.
• Information Distribution: Proactively distribute all pertinent court filings and provide regular, timely status updates to attorneys and other legal staff, ensuring they are fully informed of all case developments and necessary actions.
• Attorney Procedural Support: Provide comprehensive support for attorney admissions to various bar associations, manage all aspects of pro hac vice applications, and offer expert guidance on court rules, procedural requirements, and effective use of e-filing systems.

The Must-Haves
• Background: An experienced professional with a minimum of three years of dedicated experience working within a law firm’s clerk’s office or managing attorney’s office, demonstrating a foundational understanding of legal support operations.
• Experience: Possesses proven hands-on experience and proficiency in utilizing docketing and case management tools, specifically including platforms like CourtAlert or other similar robust case management systems.
• Skills: Exhibits strong, comprehensive knowledge of federal and state court procedures, coupled with practical proficiency in e-filing systems. Additionally, familiarity with established legal research and docket systems such as PACER or Lexis is essential.
• Bonus: While not strictly required, a Bachelor’s degree is preferred for candidates applying to this role, indicating a commitment to higher education.
