Assistant Managing Clerk | CF Legal Recruiting and Staffing

The Tone:
This is a hybrid, non-exempt position located in New York City, designed to provide essential support to attorneys and paralegals throughout a legal firm. The role is critical for ensuring that all pleadings and court filings are meticulously prepared, adhere to proper form, and comply with complex court rules and protocols. This position acts as a central point for managing both electronic and physical court submissions, directly contributing to the efficient and compliant progression of legal cases.

What You’ll Actually Do
• Filings Management: Manage all electronic filings in federal courts nationwide and New York State Courts, alongside the preparation, filing, and retrieval of physical documents at New York courthouses. This includes communicating directly with court clerks across the country to ensure process adherence.
• Procedural Expertise: Research and accurately apply procedural rules for New York State and federal courts throughout the country, offering critical guidance to attorneys and paralegals on court rules and best practices.
• Document Review and Preparation: Meticulously review and prepare all court filings, ensuring they are in proper form and in full compliance with specific court rules and protocols before submission.
• Legal Document Drafting: Draft various essential litigation documents, court forms, and comprehensive attorney admissions paperwork, including detailed pro hac vice applications.
• Administrative Support: Systematically search and monitor federal and state court dockets, maintain form files for procedural documents, coordinate electronic case filing registration for attorneys, obtain Certificates of Good Standing, and maintain a directory of New York City attorneys’ bar admissions and registration IDs. Additionally, act as a point of contact for special research assignments for specific clients.

The Must-Haves
• Background: Bachelor’s degree or equivalent, demonstrating a highly skilled understanding of legal procedures and court protocols.
• Experience: Minimum of five years of experience within a large law firm environment or in a Court Clerk Staff position, focusing on court operations and legal document management.
• Skills: Ability to work under strict timelines, provide accurate procedural information, exhibit strong organizational and multitasking abilities, and possess excellent verbal, written, and interpersonal communication skills.
• Technical: Working knowledge of PC and Microsoft Office products, Adobe Acrobat, and litigation database software.
