Legal Administrative Assistant | Ropes & Gray LLP

The Tone:
This is a hybrid role at Ropes & Gray LLP, located in San Francisco, CA. Ropes & Gray is a preeminent global law firm with approximately 2,500 lawyers and professionals serving clients across major business, finance, technology, and government centers worldwide. This role is crucial for providing essential administrative support to a team of attorneys, paralegals, and business support personnel, ensuring efficient daily operations within the firm’s Administrative Resource Center.

• Mission: This person ensures efficient administrative support for legal teams and business support personnel.

What You’ll Actually Do
• Document Creation: Create and edit documents, performing document comparisons for various needs.
• Document Management: Maintain e-filing of client/matter related documents and organize inboxes by filing emails.
• Financial Processing: Process expenses and invoices in collaboration with Williams Lea, and edit daily time entries for narrative accuracy, reviewing WIP reports.
• Travel & Meetings: Arrange travel, coordinate meeting arrangements, and handle incoming/outgoing mail.
• Overflow Support: Provide additional overflow administrative support to the San Francisco Administrative Resource Center.

The Must-Haves
• Background: College degree or equivalent, Entry-Level career level.
• Experience: Expert proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
• Skills: Strong organizational skills to seamlessly perform and prioritize multiple tasks with excellent attention to detail.
• Skills: Strong interpersonal skills to build relationships with internal and external lawyers, staff, and clients, coupled with expert communication skills.
• Skills: A proactive approach to problem-solving and strong decision-making capability.
