This is an in-person Administrative Clerk role at Hall Booth Smith, P.C., a large law firm. The firm provides comprehensive legal services to its clients across various practice areas. This position is crucial for ensuring the smooth operation of daily administrative tasks, directly supporting the legal teams by assisting secretaries and timekeepers with various projects and maintaining vital firm records.

• Mission: To provide essential administrative, clerical, and records support to ensure efficient operations for legal secretaries and timekeepers, maintaining team and firm needs.
• Tech Stack: Elite, computer and office equipment

What You’ll Actually Do
• Team Support: Offer direct administrative assistance to timekeepers and secretaries on various projects.
• Records Management: Manage and quality-control files according to Records Center guidelines, including preparing File Action Reports.
• Document Production: Prepare and produce various documents, including typing letters, updating indexes, and creating binders.
• Billing Support: Assist secretaries with accurately entering billable time into the Elite system.
• Operational Flexibility: Adapt to changing daily priorities and perform diverse duties to meet unexpected work demands from attorneys, paralegals, and secretaries.

The Must-Haves
• Background: High school diploma or general education degree, or an equivalent level of spelling, diction, and grammatical ability.
• Experience: Preferred experience supporting administrative, clerical, records, or office operations, especially within a team-oriented professional office environment.
• Skills: Strong organizational, prioritization, proofreading, and attention to detail skills; Interpersonal skills for effective communication with diverse attorneys, staff, and clients; Accurate typing ability of 50 words per minute; Comprehensive computer and office equipment experience; Ability to communicate concerns appropriately.
• Bonus: Possess a drive and ambition to succeed within a team environment, along with flexibility to respond to changing priorities and unexpected support needs.
