Operations Administrator / Administrative Assistant | Interstate Waste Services, Inc.

This is an in-person administrative support role at Interstate Waste Services, Inc., a leading provider of solid waste and recycling services across New York, New Jersey, and Connecticut. This position is integral to the daily functioning of a Hauling Depot, directly supporting operations management, dispatch, and the essential team of drivers and collection helpers. The role ensures the smooth flow of critical information and records necessary for efficient waste and recycling operations.

• Team: Supports Hauling Depot operations management, dispatchers, drivers, and collection helpers.
• Mission: To maintain comprehensive operational records and facilitate communication for the smooth daily functioning of a Hauling Depot.
• Tech Stack: Microsoft Excel, Word, Outlook, TEAMS, waste industry operations software.
What You’ll Actually Do
• Records & Compliance Management: Maintain comprehensive operational records including route sheets, work orders, service documentation, daily tickets, DVIRs, and assist in preparing documentation for regulatory compliance, audits, and inspections, including incident reports.
• Driver & Operational Data Entry: Perform accurate and timely data entry for driver surveys, hours, miles, fuel, and daily productivity, ensuring all entries and corrections are processed within required 24-48 hour timelines.
• Communication & Coordination: Serve as a primary point of contact for daily communications with drivers and collection helpers, coordinating with dispatch on route assignments and changes, and relaying customer service issues to relevant departments.
• Administrative Support & Information Flow: Organize, distribute, and manage all operational paperwork from drivers and staff, maintain updated contact information for personnel, and distribute important operational updates and policy changes.
• Meeting & Reporting Logistics: Coordinate and schedule operational meetings and training sessions, prepare agendas, record minutes, and compile daily, weekly, and monthly operational reports, contributing to data analysis for improvement.
The Must-Haves
• Background: High school diploma or GED required. Applicants must be at least 18 years of age and legally eligible to work in the United States.
• Experience: Minimum of 3 years of experience as an Administrative Assistant or in an Operations Support role, demonstrating proven expertise in data entry and records management.
• Skills: Proficiency with Microsoft Office Suite (Excel, Word, Outlook, TEAMS); excellent organizational and time management abilities; strong problem-solving and decision-making capabilities; a high level of accuracy and attention to detail; and adaptability to changing priorities and schedules.
• Bonus: Prior experience in the waste management or transportation industry; familiarity with DOT regulations and safety documentation; Spanish bilingualism is a plus.
