Job Title: ADI Infrastructure Admin

Summary

Kforce is seeking an experienced ADI Infrastructure Admin to join their client’s Advanced Distribution Infrastructure team in Tampa, FL. This role requires an individual who can operate with limited supervision, performing a variety of complex administrative duties. Key responsibilities include extensive communication and coordination with internal personnel, external vendors, contractors, and customers. Furthermore, the ADI Infrastructure Admin will act as the SAP partner to the lead administrative specialist, providing crucial support in originating reports, reviewing financial limits, and efficiently processing purchase requisitions and invoices.

Responsibilities

  • Perform a range of general office duties, including typing, maintaining organized files, managing record-keeping activities, and handling confidential data with discretion.
  • Monitor inventory levels of office supplies, proactively initiating purchase orders to ensure adequate stock.
  • Process incoming vendor invoices, receive, prioritize, and distribute incoming mail, and perform photocopying, collating, and assembling of documents.
  • Review and answer routine correspondence, demonstrating strong written communication skills.
  • Serve as a primary point of contact for internal and external customers, taking detailed messages and conveying them accurately to appropriate personnel.
  • Respond to general inquiries and telephone calls by researching information and making informed decisions on routine matters, as authorized or delegated.
  • Schedule internal and external meetings and appointments, notify attendees, and make necessary arrangements as directed.
  • Coordinate simple travel arrangements and prepare essential meeting materials such as agendas, handouts, and presentations.
  • Potentially take minutes for departmental meetings, accurately documenting discussions and decisions.
  • Prepare and process various forms, documents, and requisitions, adhering strictly to standard procedures.
  • Maintain comprehensive logs and records of area activities.
  • Calculate various data, including payroll summaries and financial information.
  • Assist in the coordination and data collection for smaller, less complex budgets.
  • Create and maintain basic charts, graphs, spreadsheets, and databases to support team operations.

Requirements

  • Education: High School diploma or GED required. A college degree from an accredited institution may be considered in lieu of up to 1 year of the required experience.
  • Experience: Minimum two years of administrative support or other relevant office experience required. TEC/PGS call center experience involving special assignments/projects relatable to the required experience may be considered.
  • Technical Skills:
    • Ability to operate a variety of basic and complex office equipment.
    • Effective computer skills in creating and maintaining basic spreadsheets, graphic material presentation, system downloads, running reports, data entry, and word processing.
  • Problem-Solving: Ability to resolve a variety of non-routine issues/topics with some independence or by referencing documentation, manuals, and guidelines.
  • Preferred Qualifications:
    • Two years of direct administrative assistance work in an office environment.
    • Experience in a utility environment.
    • Working knowledge of MS Word, Excel, and Outlook.

Compensation and Benefits

The pay range for this role is based on the lowest to highest compensation Kforce reasonably believes it would pay at posting. Actual employee pay will be determined by factors such as relevant education, qualifications, certifications, experience, skills, seniority, location, performance, union contract, and business needs. This range may be modified in the future.

Salaried personnel receive paid time off.
