After School Matters (ASM) is a Chicago-based nonprofit organization providing after-school and summer programs to nearly 19,000 Chicago high school teens annually. These programs focus on talent development and skill-building to prepare teens for college and future success. ASM offers paid apprenticeships in arts, communications and leadership, sports, and STEM, led by professionals. ASM has engaged more than 400,000 Chicago teens. Programs are held at community locations and ASM buildings (Gallery 37 Center for the Arts, the Michael and Karyn Lutz Center, and Gately Park). ASM’s annual operating budget is approximately $35M and employs approximately 500 staff.
Job Description:
Summary of Position:
The Program Administration Intern (also referred to as Freshmen Connection Liaison) supports the school staff in maintaining a safe and welcoming program environment, assists with recruitment efforts on campus, and provides logistical support for teen attendance, documentation, and payroll. The intern will also visit school programs to assist instructors with lesson demonstrations, small group work, and one-on-one teen support.
Key Responsibilities:
• Assist the High School Connection Coordinator with in-school recruitment efforts, including providing teen application assistance and enrolling/dropping teens in Cityspan and/or CPS ASPEN (if possible and as needed).
• Ensure teen eligibility for stipends by gathering weekly attendance forms and teen documents, entering attendance in Cityspan and/or CPS ASPEN each week.
• Ensure pre/post field trip procedures are completed, including submitting Program Enhancement requests and check requests.
• Serve as a point of contact for parents regarding programmatic and stipend inquiries.
• Read and respond to ASM communications within 2 business days.
• Assist High School Connection staff in the classroom, as needed.
• Send reminder messages to teens and parents related to attendance and programming.
• Other duties as assigned by the High School Connection Coordinator.
Required Skills and Abilities:
• Strong relationships with students at the school to facilitate recruitment.
• Strong customer service skills to address student and teen questions.
• Attention to detail and organizational skills for accurate and timely attendance entry and document tracking.
• Ability to troubleshoot in emergencies while supporting teens.
Required Qualifications:
• High school degree or equivalency.
• Cook County residency.
Schedule:
• Part-time: Approximately 16-20 hours per week for 7 weeks.
• Varies according to school programming schedule, Mondays – Fridays 8am – 2:30pm.
• Ability to travel to ASM sites as needed.
Compensation:
• $18 per hour.
