Financial Administration Specialist, Auxiliary Shared Services | Indiana University Bloomington
The Tone:
This is a full-time role at Indiana University Bloomington, located in Bloomington, Indiana. The Auxiliary Shared Services team employs ethical, creative, and sustainable business practices to deliver excellent customer service, convenience, and value to the entire university community. This position focuses on providing efficient and effective administrative services for the BL Auxiliaries and Student Life Operations. The role is critical in creating standardization and consistency in finance and administrative services while ensuring cost-effective practices for the university.

• Mission: To manage financial and administrative operations, ensuring efficiency, compliance, and informed decision-making for the BL Auxiliaries and Student Life Operations.
• Tech Stack: standard Office software, advanced Excel, databases, Pivot Tables, electronic platforms, One.IU, HRMS, IUIE, KFS, multiple point-of-sale (POS) systems
What You’ll Actually Do
• Accounts Management: Manage accounts receivable functions, including reconciling daily cash receipts across various financial systems.
• Reporting & Analysis: Prepare and distribute monthly, quarterly, annual, and ad hoc financial reports to support operational and strategic decision-making.
• Budget Support: Support budget development, forecasting, and user fee revenue analysis by collecting and interpreting financial data.
• Billing Administration: Administer billing and invoicing for facility rentals, sponsorships, and payroll deduction memberships, monitoring activity for accuracy and timely payment.
• Process Improvement: Evaluate and improve financial and administrative workflows to enhance overall efficiency and effectiveness.
The Must-Haves
• Background: Bachelor’s degree in finance, business, or a related field; this role is at a Core career level.
• Experience: Some experience in a related field, with a minimum of 2 years of experience in general ledger, accounts receivable, and cash management.
• Skills: Proficient communication skills, advanced Excel and database skills including complex formulas and Pivot Tables, intermediate accounting skills, ability to interpret financial documents from an accounting, policy, and practice perspective, and the ability to solve problems with independent thought.
• Bonus: Advanced knowledge and experience with databases, spreadsheets, and other financial applications for data organization, analysis, and reporting; experience with IU’s financial policies and computing systems (One.IU, HRMS, IUIE, KFS).
