Finance Assistant | UC San Diego

The Tone:
This is a full-time career role at UC San Diego, located in San Diego, CA, with a hybrid work option. You will join the Innovation & Commercialization department, where you will play a crucial role in maintaining day-to-day financial operations. This position ensures compliance with University policies and procedures across various financial transactions, directly supporting the department’s fiscal integrity and administrative needs.

• Mission: Performs day-to-day finance and accounting duties, ensuring compliance with university policies and supporting financial operations.
• Tech Stack: Word, Excel

What You’ll Actually Do
• Finance & Accounting: Perform daily finance and accounting duties, including accounts payable, accounts receivable, cash management, deposit, purchasing, invoicing, collections, and general ledger reconciliation.
• Document Processing: Independently process accounting and administrative documents for purchases, payments, gifts, budget adjustment journals, and cost transfers, ensuring compliance with University policies.
• Reporting & Analysis: Generate various reports, including revenue, expense, and budget reports, and create Excel spreadsheets to monitor expenses and special financial projects.
• General Office Support: Provide full scope of general office support, including maintaining physical and digital files, serving as Departmental Security Administrator, and coordinating departmental facilities management.
• Vendor Management: Manage blanket purchase orders for outside vendors for goods and services, acting as a liaison for account matters and problem resolution.

The Must-Haves
• Background: Entry-Level. Understanding of generally accepted accounting principles, fund accounting, internal control standards, and audit principles.
• Experience: Implementing policies and procedures relating to accounting, budgeting, bookkeeping, reconciliation, auditing, purchasing, and disbursements. Experience processing financial documents, including invoices, reimbursements, and purchase orders. Experience with cash management, including merchant accounts and check deposits.
• Skills: Demonstrated knowledge and ability to utilize word processing, spreadsheets (Excel), and database applications with accuracy. Proven analytical ability to research, compile, organize, interpret data, and recognize discrepancies. Superior organizational skills with extreme accuracy and attention to detail.
• Bonus: Demonstrated ability to learn and use various UCSD campus online tools.
