Operations Project Coordinator | MIRATECH

The Tone:
This is a full-time, in-person role at MIRATECH, located in Tulsa, OK, requiring only local travel. MIRATECH specializes in products and processes that involve fabrication, requiring coordination with external vendors and internal engineering teams. This Operations Project Coordinator position is critical for ensuring the smooth execution of MIRATECH projects from the initial planning stages through to final shipment. The role serves as a key operational contact point, coordinating purchasing activities, project timelines, and logistics, directly contributing to the successful delivery of projects.

• Mission: Coordinate MIRATECH projects from the operations side, ensuring smooth execution from planning through to shipment.
• Tech Stack: Windows, MS Office (Word, Excel, PowerPoint, Outlook), ERP system

What You’ll Actually Do
• Project Initiation & Coordination: Attend all necessary internal coordination meetings and project kick-off meetings to understand project scope and requirements.
• Financial Oversight: Work collaboratively with Sales, Engineering, and Project Management teams to prepare comprehensive project budgets, then diligently track actual costs and revenues against those budgets throughout the project’s lifecycle, with support from Accounting.
• ERP System Management: Create and manage internal job orders within the company’s ERP system to accurately track all project-related costs and maintain precise purchase orders with various suppliers.
• Vendor and Fabrication Liaison: Communicate regularly with external vendors to monitor the status of projects as they move through fabrication, promptly reporting any potential issues or delays internally to Engineering, Project Management, and other relevant teams.
• Change Management & Logistics: Proactively manage scope changes that could impact project schedules, costs, or revenues, and upon project shipment, coordinate all aspects of shipping and ensure proper job closure procedures are followed.

The Must-Haves
• Background: Bachelor’s degree from an accredited college or university in a relevant major. This is an early-career opportunity for an individual with a foundational understanding of project coordination within an operations context.
• Experience: 0-4 years of prior experience in project management, or demonstrated equivalent knowledge, skills, and abilities in a similar coordination role.
• Skills:
• Excellent verbal and written communication skills for effective internal and external collaboration.
• Proficiency with Windows operating systems and Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
• A detail-oriented approach combined with the ability to understand the broader context and “big picture” of a project.
• Proven capability to successfully manage multiple small to medium-sized projects concurrently.
• Bonus: A positive attitude and a good sense of humor to foster a collaborative and productive work environment.
