Database and Operations Advancement Associate | Chinese American International School

The Tone:
This is a full-time, remote optional role at Chinese American International School, located in San Francisco, California. CAIS is the nation’s first Mandarin Immersion Preschool through 8th grade school, dedicated to leadership in immersion education and continuous improvement across all aspects of learning and community. This role is crucial for maintaining the integrity and effectiveness of the Advancement Office’s database and operations, directly supporting fundraising efforts that sustain the school’s mission.

• Team: Reports to the Assistant Director of Advancement.
• Mission: Owns the maintenance and operation of the Advancement database to ensure accurate gift processing, data integrity, and operational effectiveness for fundraising.
• Tech Stack: Veracross, event software, peer-to-peer fundraising platforms.

What You’ll Actually Do
• Database Administration: Serve as the primary administrator for the Advancement database, directing its maintenance and ensuring operational effectiveness.
• Gift Processing and Recognition: Oversee and manage the accurate and timely entry and acknowledgment of all gifts and pledge reminders.
• Financial Reconciliation: Collaborate with the Business Office for quarterly gift reconciliation and provide necessary documentation for annual audits.
• Event Support: Provide critical database and operational support for the annual fundraising gala (ShowCAIS) and other departmental cultivation and stewardship events.
• Reporting and Analysis: Generate database queries and reports to analyze giving trends and guide cultivation and stewardship efforts.

The Must-Haves
• Background: Bachelor’s Degree. Entry-level understanding of database management and operational support.
• Experience: Previous work experience demonstrating collaborative teamwork and effective achievement of objectives.
• Skills: Familiarity with computer systems, strong organizational abilities for managing multiple priorities, excellent interpersonal and communication skills.
