Legal Intake Specialist / Receptionist | Brown Family Law

The Tone:

This role is crucial for supporting daily office operations, serving as the first point of contact for all clients and visitors, and meticulously managing initial client intake processes. The Legal Intake Specialist / Receptionist will play a key part in the firm’s mission to protect clients and their families, while also contributing to an environment that empowers the team to achieve their personal, professional, and financial goals through exceptional service.

What You’ll Actually Do
• Client Welcome and Direction: Greet and welcome guests as soon as they arrive at the office, ensuring a tidy and presentable reception area, and directing visitors to the appropriate person and office.
• Communication Management: Answer, screen, and forward all incoming phone calls efficiently, while also providing basic and accurate information to clients in-person and via phone/email.
• Prospective Client Engagement: Converse with potential clients by phone and email to become familiar with their cases and effectively schedule initial consultation appointments with attorneys.
• New Client Onboarding: Facilitate the onboarding of new clients by accurately filling out necessary paperwork and compiling initial case files.
• Office Operations Support: Perform general clerical receptionist duties such as filing, photocopying, transcribing, and faxing, assist attorneys with administrative tasks, and manage office supplies and mail.

The Must-Haves
• Background: Entry-Level. A High School Diploma or GED is preferred. This role requires foundational knowledge in customer service and general office administration to effectively manage client interactions and daily tasks.
• Experience: A minimum of 1 year of customer service experience is preferred. Candidates should also have practical experience with common office equipment such as computers and printers.
• Skills: Strong written and verbal communication skills, excellent organizational abilities, and great phone, sales, and customer service skills are essential. Proficiency in MS Office Suite and Google Drive Suite is also required.
• Bonus: A professional attitude and appearance, ability to be resourceful and proactive when issues arise, capacity to handle multiple projects and tasks simultaneously, and a strong willingness to continuously learn and improve professionally.
