The Tone:
This is an Administrative Assistant I position at Teal, Becker & Chiaramonte CPAs, a firm specializing in accounting services. This role is crucial for providing essential support across all departments, learning the fundamental processes and procedures that enable the firm to operate efficiently. The person in this position ensures the smooth handling of administrative tasks, from mail processing to document management, contributing directly to the firm’s overall organization and client service.

• Mission: To support all departments within the Firm with beginner level skill set and knowledge of processes and procedures.
• Tech Stack: Microsoft Word, Excel, Outlook, Windows-based computer system

What You’ll Actually Do
• Mail Operations: Process all incoming and outgoing mail, including bulk mailings, overnights, and certified mail, with daily trips to the post office during tax season.
• Office Support: Maintain administrative areas, stock and order office supplies, and manage rotational kitchen duties, including ordering lunches and maintaining coffee supplies.
• Reception & Errands: Cover the receptionist desk as needed for breaks and absences, answer rollover calls, and perform administrative errands such as store runs to Walmart or BJs.
• Document Preparation: Execute various typing projects, including letters, mail merges, and labels, and prepare, format, scan, copy, and file monthly client engagement letters and bank confirmations.
• Tax & Financial Processing: Handle the basic understanding of copying and processing various tax returns (corporate, trusts, gift, nonprofit, pension, personal), electronic filing of extensions, and proofing and binding financial statements and valuation reports.

The Must-Haves
• Background: Entry-Level. Completion of a high school diploma or equivalent is required.
• Experience: A minimum of one year of clerical or administrative experience.
• Skills: Strong verbal and written communication skills, a high degree of attention to detail and organization, proficiency with Microsoft Word, Excel, and Outlook on a Windows-based system, ability to type 60-70 WPM with solid proofreading skills, capacity to manage driven deadlines and prioritize multiple tasks in a demanding environment, and ability to work both independently and collaboratively.
• Bonus: Additional coursework in math is preferred.
