What You’ll Actually Do
• Schedule Management: Coordinate executive schedules by arranging meetings, managing appointments, and prioritizing daily commitments.
• Communication Hub: Serve as a central point of contact for all incoming calls, messages, and correspondence, facilitating timely and effective communication.
• Document Control: Create, organize, and maintain digital and physical records to ensure important documents remain accurate and easily accessible.
• Operational Oversight: Monitor follow-up items, deadlines, and materials awaiting executive review, while also overseeing routine office support tasks like supply and shipping management.
• Project Support: Assist with client intake by gathering required information and preparing documentation, alongside handling special assignments and ad hoc administrative projects.
The Must-Haves
• Background: At least 2 years of experience in an Executive Assistant or senior-level administrative support role, ideally supporting leadership teams within legal, financial, consulting, or similar business settings.
• Experience: Proven proficiency with Microsoft Office applications for scheduling, document preparation, and general administrative tasks.
• Skills: Strong ability to organize work, manage multiple tasks, communicate effectively with internal and external contacts, exercise proven judgment with confidential information, maintain a high level of accuracy and attention to detail, and work independently with a responsive, service-oriented approach.
• Bonus: Experience with client-facing administrative responsibilities, inbound call handling, or reception support is preferred.
