Practice Assistant – Litigation | Holland & Knight LLP
The Tone:

This position plays a critical part in supporting the Litigation team by providing essential administrative assistance. The role ensures lawyers and professionals can operate efficiently and effectively, meeting both firm and client needs.

• Tech Stack: Microsoft Office Suite, Adobe, document management systems, electronic signature software programs, Firm travel system, Firm’s workflow tool
What You’ll Actually Do
• Client & Internal Communication: Communicate effectively with clients, lawyers, and co-workers via email, telephone, and in person, answering routine questions, routing calls, arranging conference calls, and greeting clients.
• Document Production & Editing: Create, draft, format, edit, and proofread Word documents, Excel spreadsheets, and PowerPoint presentations, including routine business correspondence, forms, and other documents under supervision.
• Travel & Expense Management: Schedule domestic and foreign travel through the Firm travel system, including flights, hotels, and car rentals, and prepare, organize, and process reimbursements, invoices, and check requests.
• Client Matter Administration: Collect and prepare information for conflict checks, open new client matters, draft engagement and scope letters, and apply client-specific billing guidelines to ensure compliance and cost-effectiveness.
• Office & Workflow Coordination: Open, prioritize, and distribute mail, coordinate mailings, deliveries, copying, scanning, and printing, enter and manage work requests, and perform electronic and paper filing with document management system usage.
The Must-Haves
• Background: Bachelor’s degree with proficiency in core legal administrative assistant functions.
• Experience: 4 – 5 years of experience supporting lawyers and paralegals with administrative or client-related tasks (preferred).
• Skills: Advanced knowledge of Microsoft Office Suite and Adobe; Experience with document management systems and electronic signature software programs; Superb attention to detail, grammar, and punctuation; Effective and professional interpersonal and communication skills; Ability to take direction and work independently with little supervision.
