• Mission: To ensure attorney schedules, client matters, billing, and practice initiatives run seamlessly by providing high-impact administrative and practice support.
• Tech Stack: Microsoft Office suite (Word, Excel, PowerPoint, Outlook), Adobe Acrobat Pro, DocuSign, electronic filing platforms, document management systems, CRM platforms, Salesforce, expense reimbursement software, time, attendance and billing tracking software (e.g., Aderant or 3E)
What You’ll Actually Do
• Administrative Coordination: Manage attorney calendars, deadlines, travel, and meetings, serving as a key contact for internal and external communications.
• Practice Operations: Draft, edit, and finalize legal and administrative documents, coordinating practice projects, meetings, research, events, and client development efforts.
• Financial Management: Oversee attorney time entry and submission, assist with budgets, projections, client reports, billing, invoicing, and process expenses and reimbursements.
• Travel & Events: Arrange domestic and international travel logistics and coordinate meetings, conferences, and client events, preparing itineraries and distributing materials.
• Litigation Support: Assist litigation matters from inception through resolution, including trial preparation, filings, depositions, and managing case documents and exhibits.
The Must-Haves
• Background: Minimum 3+ years’ experience supporting attorneys, including partners, in a law firm or professional services environment, with an in-depth understanding of law firm practice areas.
• Experience: Managing complex administrative tasks, legal documents, and sophisticated scheduling, including coordinating cross-functional or interdepartmental projects.
• Skills: Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook), Adobe Acrobat Pro, DocuSign, electronic filing platforms, document management systems, CRM platforms, expense reimbursement, time, attendance and billing tracking software (e.g., Aderant or 3E), and Salesforce. Excellent communication, organizational skills, and sound decision-making and judgment.
• Bonus: Bachelor’s or Associate’s degree in business, finance, or a related field with relevant certifications. Demonstrated ability to learn and adapt to new software and technology, with an eagerness to refine processes and adopt best practices.
