Legal Secretary (Litigation) | Kimball, Tirey & St. John LLP

This is a full-time role at Kimball, Tirey & St. John LLP, located in Irvine, CA. Our firm is an established real estate law firm with nearly 50 years in the California legal industry, operating six offices statewide. This role is crucial for providing high-quality litigation secretarial support to our Business and Real Estate practice group, ensuring timely production of work product and the highest level of client service. The TL;DR

• Pay: $30–$45 hourly
• Team: Supports multiple attorneys and paralegals within the Business and Real Estate practice group.
• Mission: Provide comprehensive litigation secretarial support to ensure high-quality service and efficient workflow for the practice group.
• Tech Stack: Microsoft Office (Word, Outlook, Excel), ProLaw (or similar case/practice management system), Lexis Advanced, NetDocuments
What You’ll Actually Do
• Secretarial Support: Deliver comprehensive and high-volume secretarial support to multiple attorneys and paralegals, ensuring accuracy in all work product.
• Document Preparation: Prepare, format, proofread, and finalize various litigation documents including pleadings, motions, discovery, subpoenas, and court filings.
• Trial Preparation: Provide extensive support for trial preparation, organizing trial binders, exhibit lists, witness materials, and other related documents.
• Administrative Coordination: Manage calendars, schedule appointments, arrange meetings, and handle the serving, copying, and filing of documents with the court.
• Financial and File Management: Prepare and finalize pre-bills and invoices in coordination with the Accounting department, and maintain both electronic and closing files.
The Must-Haves
• Background: Senior-level legal secretary with 5+ years of experience, demonstrating knowledge specifically within litigation practice areas.
• Experience: Proven e-filing experience with local and State courts, and proficiency with a case or practice management system such as ProLaw or a similar platform.
• Skills: Strong research, writing, and communication skills, superior organizational abilities, meticulous attention to detail, and the capacity to manage inflexible deadlines with a high-volume workload.
• Bonus: Experience with ProLaw, Lexis Advanced, and NetDocuments, along with specific knowledge of California and Federal Rules of Court.
