Administrative Assistant II- Residence Life | Grayson College

What You’ll Actually Do
• Clerical Operations: Execute comprehensive clerical duties including the collection and distribution of department mail, preparation of various correspondence, completion of general word processing tasks, and efficient handling of filing, sorting, faxing, and information distribution.
• Information and Communication: Serve as a primary point of contact by answering and directing telephone calls, resolving questions and concerns directly within your area of expertise, and collecting necessary information from other departments for broader inquiries.
• Customer Service and Reception: Greet and effectively direct guests, ensuring a positive first impression and providing quality customer service by answering general questions and offering accurate information about the college and its diverse services.
• Financial Support: Manage basic accounting responsibilities, which includes initiating requests for purchase orders, accurately entering invoices to be paid from the appropriate accounts, and performing other fundamental financial record-keeping tasks.
• Scheduling and Event Support: Maintain detailed schedules for individuals, meetings, and various conference rooms, coordinate travel arrangements as needed, and provide comprehensive assistance for meetings and special events, including sending invitations, making reservations, preparing materials, ordering refreshments, and recording minutes.

The Must-Haves
• Background: This is an Entry-Level position. Candidates must possess a high school education or GED. The role requires foundational knowledge in administrative and clerical support practices.
• Experience: A minimum of six months to two years of similar or related administrative or clerical experience is essential for this role.
• Skills: Required skills include proficiency with keyboard and 10-key calculator, strong written and verbal communication abilities, and foundational customer service skills demonstrating courtesy and respect. Basic knowledge of Microsoft Word and Excel is also necessary.
• Bonus: An aptitude for quickly learning and effectively utilizing new technology applications, including the college’s specific phone and email systems.
