Conflict/File Specialist | Gerber Ciano Kelly Brady LLP

The Tone:
This is a full-time, non-exempt role at Gerber Ciano Kelly Brady, LLP, available 100% remotely or from any of the firm’s current locations. The firm is building a new legal services model focused on exceptional client service, innovative technology, efficiency, and unparalleled value, moving beyond traditional law firm practices. This role supports firm attorneys and the Accounting Department by ensuring accurate and compliant client and matter intake. The Conflicts/File Specialist directly upholds the firm’s standards of quality, consistency, and customer service, contributing to the integrity of firm data.

The TL;DR

• Location: Remote, Buffalo, NY (or other current locations)
• Team: Reports to the Accounting Manager, working closely with firm attorneys and other Accounting Department members.
• Mission: To maintain the integrity and compliance of client and matter information through meticulous research, processing, and database management.
• Tech Stack: Microsoft Office Suite

What You’ll Actually Do
• Conflict Research: Review, research, and prepare new client/matter conflict reports.
• Lateral Support: Review, research, and prepare lateral conflict reports.
• Data Entry: Review and process new client and matter intake documents, inputting client and matter information into the firm’s database.
• Database Maintenance: Review and process client/matter updates, including closures, reactivations, add party requests, and relationship partner adjustments.
• Administrative Support: Complete other tasks as assigned by the Accounting Manager.

The Must-Haves
• Background: Entry-Level professional with core domain knowledge in legal conflicts.
• Experience: 1+ years of legal conflicts experience required.
• Skills: Excellent interpersonal skills, extreme detail orientation, strong ethics and compliance aptitude, excellent oral and written communication skills, ability to maintain strict confidentiality.
• Bonus: Experience with Aderant.
